Here's what we collect when you ask for care, how we use it, and the choices you have — including how text message consent works.
What we collect
When you submit a care request, we collect what you enter on the form: your name, email address, mobile phone number, and the details of your situation. For counseling requests that includes information such as insurance details, availability, and what you're walking through. If you upload documents, we store those files with your case.
How we use it
We use your information to review your request, route it to the right care team, contact you, schedule appointments, and keep a record of how your case has progressed. Our care coordinators, pastoral staff, and — for counseling — our partner clinicians at Restorer of Broken Walls see the information they need to care for you.
Text messages and your consent
We only text you if you tick the text-message box on a care form. That box starts unchecked, and leaving it unchecked doesn't affect the care you receive. Consenting to text messages is optional and is never a condition of submitting a request or of receiving care.
Your mobile number and text-message consent are used by One City Church to send you counseling appointment reminders, updates, and changes to your care. Message frequency varies (up to 4 msgs/month), message and data rates may apply, you can reply HELP for help, and you can reply STOP to opt out at any time. Opt-out requests are honored immediately.
How we handle mobile information and SMS consent
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with any third parties or affiliates for marketing or promotional purposes.
All other categories of information we collect also exclude text messaging originator opt-in data and consent. We do not sell your mobile number, your text-message consent, or your personal information, and we do not share them with third parties or affiliates for their own marketing or promotion.
The messaging and email providers that deliver our messages on our behalf receive your mobile number and email address only so they can send what we ask them to send. They are not permitted to use it for their own marketing or promotion.
Who we share it with
We share your information within our care team and, for counseling referrals, with Restorer of Broken Walls Counseling Services so they can contact you and schedule your first appointment. We use service providers for the tools that run this portal — sending email and text messages and storing your records — and they may process your information only on our behalf. We do not sell your personal information.
During counseling, your counselor's notes are confidential by law and are not shared with our pastoral team unless you give Pastoral Release. We may disclose information where the law requires it, or to protect someone from serious harm.
Retention and security
We keep case records for as long as we need them to provide care and to meet our legal and ministry obligations, then delete or anonymize them. Access to case records is limited to the staff and clinicians who are part of your care, and we take reasonable steps to protect your information.
Your choices
You can reply STOP to end text messages at any time, or ask our team through the portal to update or correct your contact details. If you've submitted a financial assistance application, you can withdraw it at any time from your portal account.
Questions about your information? Reach our care team through the portal. See our Terms of Service for the rules that apply to this portal and our messaging program.
